1. Who we are
This site, samplify.ai, is operated by Samplify AI, Inc., a Delaware corporation ("Samplify", "we", "us", "our"). We build software decision intelligence tools for enterprise procurement, IT asset management, and finance teams.
This policy explains how we handle information when you visit our website, request a 30-day proof, or correspond with us by email. It does not cover the separate enterprise services we provide to customers under a signed agreement, which are governed by that agreement's data processing terms.
2. What we collect
We try to collect the minimum we need to run the business and improve the website. Concretely:
2.1 Information you give us directly
- Email correspondence. If you email
james@samplify.ai,trial@samplify.ai, or any other Samplify address, we receive your name, email address, and the contents of your message. - Trial requests. If you request a 30-day proof, we collect the information you provide: name, work email, company, role, and any details about your software estate or the question you want to test.
- Meeting bookings. If you book a call with us, we receive what your scheduling tool or calendar share provides: name, email, and the meeting time you chose.
2.2 Information collected automatically
- Web analytics. We use Cloudflare Web Analytics to count visits and understand which pages people read. It is privacy-preserving by design: no cookies, no cross-site tracking, no individual user profiles. We see aggregated counts, top pages, top referrers, and country-level location.
- LinkedIn Insight Tag. If you have a LinkedIn account and visit our site, LinkedIn may set cookies that allow us to measure the performance of our LinkedIn ads and build audiences for retargeting. You can opt out at LinkedIn's opt-out page.
- RB2B visitor identification. RB2B is a third-party service that identifies the company associated with a website visitor based on US-only IP and device data. It identifies companies, not individual people, and only operates on visitors located in the United States. EU, UK, and other non-US visitors are excluded by RB2B's own configuration.
- Server logs. Our hosting provider (Cloudflare Pages) records standard log data: IP address, user agent, request timestamp, and URL requested. These are kept for security and abuse prevention.
3. Why we collect it
We rely on the following lawful bases (under GDPR, where applicable):
| Purpose | Legal basis |
|---|---|
| Responding to your email or trial request | Contract / pre-contract |
| Improving the website and understanding traffic | Legitimate interest |
| Measuring ad performance on LinkedIn | Legitimate interest (US) / Consent (EU/UK) |
| Identifying companies (not individuals) visiting our site, US-only | Legitimate interest |
| Security, fraud prevention, and uptime | Legitimate interest / Legal obligation |
| Sending you a digest or follow-up if you've engaged | Legitimate interest / Consent |
We do not sell personal information. We do not buy contact lists. We do not run programmatic display ads.
4. Who we share it with
We share information only with vendors who help us run the business. Each is bound by a written agreement and processes data on our instructions.
| Vendor | Purpose | Region |
|---|---|---|
| Cloudflare, Inc. | Site hosting, DNS, web analytics | US, global edge |
| Google LLC (Workspace) | Business email and calendar | US, EU |
| LinkedIn Corporation | Ad measurement and retargeting | US, EU |
| RB2B (Retention.com, Inc.) | US-only company identification | US |
| Postmark (ActiveCampaign) | Transactional and product email delivery | US |
| Notion Labs, Inc. | Internal pipeline and CRM tracking | US |
We may also disclose information when required by law, in response to a valid legal process, to protect our rights or property, or in connection with a corporate transaction (merger, acquisition, financing) — in which case we will require the recipient to honour this policy.
5. Cookies and tracking technologies
The samplify.ai website uses a small number of technologies to operate and measure performance:
- First-party site preferences. Standard browser storage your device uses to remember things like which page you came from. Set by us.
- Cloudflare Web Analytics. Cookieless. Sends a privacy-preserving page-load beacon to Cloudflare. No identifier is stored on your device.
- LinkedIn Insight Tag. Sets cookies that allow LinkedIn to attribute ad clicks and add you to retargeting audiences. Cookies are first-party (li_fat_id) and third-party (set by linkedin.com).
- RB2B. Loads a small JavaScript that pings RB2B's identification endpoint when a US visit is detected. No persistent cookie is set on your device by Samplify for this purpose.
You can clear, block, or refuse cookies in your browser settings. Doing so will not affect your ability to read our site, but may affect how LinkedIn attributes ad performance.
6. How long we keep it
- Email correspondence: kept indefinitely in our business email archive unless you ask us to delete it.
- Trial request data: kept for the duration of the trial plus 24 months, or until you ask us to delete it.
- Cloudflare server logs: retained per Cloudflare's standard policy, currently up to 30 days.
- Cloudflare Web Analytics: aggregated data is retained for up to 6 months.
- LinkedIn Insight Tag data: governed by LinkedIn's retention policy.
- RB2B identifications: we keep weekly digest summaries indefinitely for trend analysis. Underlying RB2B data is retained per their policy.
7. Your rights
Depending on where you live, you may have rights regarding your personal information. We honour the following regardless of jurisdiction:
- Access. Ask us what personal information we hold about you.
- Correction. Ask us to correct it if it's wrong.
- Deletion. Ask us to delete it. We will, unless we have a legal obligation to retain it.
- Objection / restriction. Object to a particular use, or ask us to stop processing while we work it out.
- Portability. Get a copy of what you've given us in a portable format.
- Opt-out of marketing. Reply "unsubscribe" to any email, or write to us, and we'll stop.
If you are in the EU or UK, you also have the right to lodge a complaint with your local data protection authority. If you are in California, you have rights under the California Consumer Privacy Act (CCPA), including the right to know what we collect, delete it, and not be discriminated against for exercising your rights.
To exercise any of these, write to james@samplify.ai. We aim to respond within 30 days.
8. International transfers
We are a US company. If you are visiting from outside the US, your information will be transferred to and processed in the United States and other countries where our vendors operate. Where required, we rely on appropriate safeguards (such as the EU-US Data Privacy Framework or Standard Contractual Clauses) for these transfers.
9. Security
We use industry-standard practices to protect information in transit (TLS 1.2+) and at rest (vendor-managed encryption). We limit internal access to information on a need-to-know basis. No system is perfectly secure, however; if a breach affecting your information occurs, we will notify you and the relevant authorities as required by law.
10. Children
Samplify is a B2B service intended for procurement, IT, and finance professionals. We do not knowingly collect information from anyone under 16. If you believe we have, please email us and we will delete it.
11. Changes to this policy
We may update this policy from time to time. When we make material changes we will update the "Last updated" date at the top and, where appropriate, notify you by email or a prominent notice on the site.
